Accounts Receivables and Box Office Manager

The Accounts Receivables/Box Office Manager will work closely with all departments and members of the finance team The position incumbent is responsible for daily sales and receipts in the AR Office and Box Office environment, timely and accurate billings, account receivables, cash management, answering questions from callers, customers, and vendors. This position serves as a receivables and administrative support for all Indiana Black Expo activities. The successful candidate must gain a solid understanding of the organization’s base of financial support, funding requirements and possess a keen aptitude for detail and 2-3 years working with Quickbooks software.

Essential job duties include:

  • Provides Box Office Management oversight for ticket transactions including pricing, taxes, fees, exchanges, refunds, sales reporting, delivery, customer service, staff, intern and volunteer training
  • Daily accounting and reconciliation of cash and credit transactions
  • Executes cash office procedures
  • Provides weekly receivables reports to departments
  • Prepares and mails all current and outstanding receivables
  • Assists revenue reporting, budget reporting, reconciliation, and month and year-end financial closings
  • Conducts data tracking using financial software and manual financial operations if necessary
  • Conducts billing and collection calls for outstanding obligations including contractual agreements
  • Reconciles all receipts to the General Ledger according to month end deadlines and procedures
  • Prepares daily bank deposits for all receipts
  • Maintains and updates all financial forms needed to serve internal and external customers
  • Consults with department leaders regarding grants and financial support
  • Executes customer/membership credit card purchases, maintains and updates membership dues, database and ensures the delivery of membership benefits to chapters

Qualifications:

  • 2+ years of Accounts Receivables experience
  • 1 year Box Office Management preferred
  • Associates Degree in Finance/Accounting
  • Proficient in Quickbooks accounting software
  • Possess keen customer service skills

YLM Opportunity Zone ("OZ") is a collaboration of organizations, service providers, and schools who work with opportunity youth in a geographic Opportunity Zone in the 46218 zip code area in Indianapolis to build a culture of achievement. These youth move through an opportunity pipeline that provides comprehensive support through middle and high school, college or career. The Connectors will work specifically in Beechwood Gardens and Hawthorne Place Apartment Communities.

Position Overview:

The primary role of the OZ Connector is to inspire belief in students (and families) that they will succeed and remove barriers to their success so that students are college and career ready, attend college or obtain work and do not have contact with the justice system. Connectors are our family coaches that partner with parents or guardians at every step of their journey to prepare their children for college or career. As a Connector, you will act as a true family partner, helping parents to set and achieve their goals.

OZ has built a full continuum of supports with various service provider partners and schools. Your role is to connect families with the right resources from these partners and continually inspire them along the way to reach even higher goals.

As a Connector, you will be a part of a unique team that works hand in hand with you to support families by getting them priority placement with our partner programs. In addition to great team members, you will have excellent tools at your fingertips – including a case management database which provides you with instant access to family goals so that you become part of a networked team of support for the family. You will track the success of each family using this tool.

PRIMARY RESPONSIBILITIES

Recruitment and Support:

  • Follow OZ recruitment strategies and recruitment targets to reach, encourage, and sustain family enrollment and involvement in OZ
  • Help families access and align whole family wrap around resources through OZ Connect case management database to support family success plans
  • Develop and track the success plans of families in OZ Connect case management database to encourage, support and facilitate progress on goals
  • Support parents ability to move their children through an education pipeline represented through OZ Connect case management database
  • Support family involvement in parenting and family support programs
  • Address barriers to student success internal to families

Partner Collaboration:
  • Work with the Engagement Team to develop and implement the OZ family support process on location

Data Tracking:

  • Responsible for keeping all family – and process-related data about families up-to-date in OZ Connect case management database
  • Maintain and keep up-to-date, all contact, referrals, case planning conversations and progress

Job Qualifications:

  • A bachelor’s degree in social work or a related field with a minimum of two (2) years of experience in community organizing or related field, or a combination of equivalent experience and training
  • Zone or 46218 residents are preferred

Knowledge, Skills, and Abilities Include:

  • Ability to learn and grow through a professional development plan process
  • Knowledge of Indianapolis and the ability to develop and maintain strong relationships with Zone families
  • Ability to work with Microsoft Office software including Word, Excel, Access, and Outlook
  • Ability to understand and effectively use technology and data management systems
  • Knowledge of or willingness to learn about the cultural and internal barriers to family success in raising college and career-ready children
  • Strong commitment to expectation that children grow up in the 46218 zip code can succeed in academics and college

Opportunity Zone Data Entry Specialist

The Data Entry Specialist is a part-time position and must be able to input data for the Opportunity Zone partners as it relates to the youth and parents enrolled in Opportunity Zone Program.

Essential Duties and Responsibilities:

  • Enters data by inputting alphabetic and numeric information using an established procedure and through a detailed web based interface.
  • Maintains data entry requirements by following data program techniques and procedures.
  • Verifies entered data by reviewing, correcting, updating, deleting, or reentering data; combining data from multiple systems when information is incomplete; purging files to eliminate duplication of data.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Prepare, compile and sort documents for data entry
  • Check source documents for accuracy
  • Obtain further information for incomplete documents
  • Create spreadsheets with large numbers of figures without mistakes
  • Verify data by comparing it to source documents
  • Combine and rearrange data from source documents where required
  • Enter data from source documents into prescribed computer database, files, and forms
  • Transcribe information into required electronic format
  • Scan documents into document management systems or databases
  • Check completed work for accuracy
  • Store completed documents in designated locations
  • Maintain logbooks or records of activities and tasks
  • Respond to requests for information and access relevant files
  • Print information when required
  • Comply with data integrity and security policies
  • Maintain own office equipment and stationery supplies
  • Retrieve data from the database or electronic files as requested
  • Perform regular backups to ensure data preservation
  • Sort and organize paperwork after entering data to ensure it is not lost

Minimum Core Competencies:

  • Accurate keyboard skills and proven ability to enter data at the required speed
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.)
  • Working knowledge of office equipment and computer hardware and peripheral devices
  • Basic understanding of databases
  • Good command of English both oral and written and customer service skills
  • Great attention to detail
  • High school degree or equivalent
  • Formal computer training an advantage
  • Proficient in relevant computer applications such as MS Office
  • Knowledge of correct spelling, grammar, and punctuation
  • Knowledge of clerical and administrative procedures

Accounts Payable Associate

Summary

Indiana Black Expo, Inc. is seeking an experienced accounts payable professional, to manage payables processes, which requires accuracy, timely processing and a thorough knowledge of accounts payable best practices. The ideal candidate will have a minimum of 3 years accounts payable experience; possess excellent verbal communications skills, competent manipulation of standard MS Office: Word, Excel, and Outlook. Working knowledge of Quickbooks is highly preferred. Additional hours are required during peak times of the year.

Essential job duties include:

  • Processing approved purchase orders and working with established budgets
  • Coding scanned accounts payable invoices to the correct expense account
  • Matching accounts payable invoice data against the purchase order and vendor databases
  • Processing batch payments in QuickBooks with payment forms including wire transfers, ACHs, and paper checks
  • Reviewing the accounts payable aging report and working w/vendors to resolve any outstanding issues in a prompt manner

Qualifications:

  • 1+ years of processing Accounts Payable
  • Experience processing accounts payable in QuickBooks highly preferred
  • Associates Degree in Accounting preferred
  • Intermediate knowledge of Word and Excel including creating spreadsheets w/formulas and using the sort and filter functions
  • Excellent attendance record as the company has a strict policy on tardiness and absenteeism
  • Excellent data entry skills
  • Excellent attention to detail and time management
  • Excellent communication skills
